IU Health Selects Solstice Medical Platform To Expand Its Integrated Supply Chain Solution

COLUMBIA CITY, IN – (November 5 2013) Solstice Medical, LLC (Solstice), a leading provider of advanced surgical supply chain (SSC) software solutions for the healthcare industry, announced today that Indiana University Health (IU Health) is expanding the rollout of its OR1™ Surgical Inventory Management Solution and the Dock-to-Doc® enterprise SSC platform statewide throughout their health system.

“Our first-year savings and cost avoidance exceeded our expectations, and we are pleased with the operational and clinical efficiency impact,” said Joe Arruda, Vice President for Statewide Supply Chain at IU Health. “Achieving surgical supply chain efficiency and simplicity remains a significant opportunity to leverage the strength of IU Health’s statewide commitment to innovation and improved patient care,” continued Arruda.

Indianapolis, IN-based IU Health has more than 18 hospital locations and nearly 36,000 employees. The IU Health management team challenged Solstice to implement a comprehensive, unified solution to improve their surgical supply pick and returns process. All items were in scope. This included various high volume inventory items such as syringes and bandages. It also included drugs and surgical devices, expensive implants and related surgical instrumentation.

“The process used to be manual. A paper surgical supply ticket was generated for each patient. Sometimes, over 100 surgical items were picked per patient, depending on the type of procedure being performed,” said Mike Thompson, Regional Manager Statewide Supply Chain Operations. “The Solstice software is a real leap forward for us, as IU Health works to streamline care and reduce cost,” continued Thompson.

Solstice Medical has created a breakthrough industry solution. It allows hospitals and large integrated delivery networks (IDNs) like IU Health to reduce surgery delays, eliminate excessive inventory, and minimize labor-intensive inventory returns. The software also enables real-time performance monitoring throughout the supply chain for the management and clinical teams.

“Through insightful collaborations over several months with IU Health’s supply chain and information systems team, OR1 integrates with host enterprise information systems such as EMRs, while delivering unprecedented ability to harmonize surgeon preference with supply chain efficiency,” said Daniel Sands, Founder and CEO of Solstice Medical.

For IU Health, the initial implementation of OR1 resulted in the reduction of on-hand inventory levels by 15% and the reduction in supply returns time by 60%, saving $362K within the first 3 months of implementation.

The initial deployment included the health system’s downtown Indianapolis hospitals: IU Health Methodist Hospital, IU Health University Hospital and Riley Hospital for Children at IU Health. “OR1 helps deliver surgical supplies to 68 operating rooms at these locations with 99.98% accuracy,” said Thompson. “After conducting a year-long study, this accuracy has eliminated 12,000 supply delivery errors that has translated to impressive annual savings and cost avoidance for IU Health. As you can see, the results are clearly dramatic.”

“In a fast-paced surgical environment, OR1 has allowed OR nurses to spend more time taking care of patients,” said Arruda. “Because of this and the savings and cost avoidance results achieved through implementing OR1, IU Health is expanding the solution statewide.” continued Arruda.

Solstice Medical RFID Patents Now Total Seven

COLUMBIA CITY, Ind.– Solstice Medical, LLC (Solstice), a leading provider of advanced inventory management and workflow optimization software solutions for the healthcare industry announced today the company was recently awarded U.S. and International patents for its Radio Frequency Identification (RFID) tag solutions specially designed for use in the healthcare industry.

The recent awards of U.S. Patents 8,462,062, 8,344,889 and 8,461,992 compliments four additional issued patents for Solstice’s MD3® product line of RFID technology tag solutions. Since 2005, Solstice has led the market with innovations specifically designed for the healthcare industry. These innovations include the market’s first autoclavable medical grade RFID tags and DOCK to DOC®, a healthcare business intelligence solution suite which provides surgical inventory management solutions, RFID smart cabinets and patient flow optimization.

“Our patent portfolio for our MD3 tag product line is arguably the most comprehensive in the industry, uniquely compliments our entire product offering and competitively positions Solstice in the healthcare marketplace worldwide,” said CEO Dan Sands, “Our designs, production processes, and domestic and international system implementations are not only innovative, but most importantly are effective taking into consideration the multiple supply chain challenges for performance, durability and compliance in the medical industry,” continued Sands.

The MD3 product line is designed specifically for reusable surgical devices and is able to withstand the harsh rigors of sterilization and life cycle logistics. Solstice Medical has been awarded (5) five U.S patents and (2) two European patents so far for these innovations. Solstice’s intellectual property portfolio (IP) protects aspects of: UHF RFID antenna designs that couple with metal to extend read distance, encapsulation for long term safe use in the medical industry, read performance on, in and through metal, shielding for harsh sterilization processes, as well as, patch and passive repeater antenna designs.

“Solstice established the industry benchmark for survivability and has demonstrated long-term successful use at leading medical device manufacturers and healthcare providers,” said Sands, “Our patented technologies enable very small ultra-high frequency (UHF) passive RFID tags to generate long read distances on metal and non-metallic surfaces and that endure extreme temperature variations, making them ideally suited for the medical industry.”

“Solstice envisioned the value of a single RF bandwidth (UHF) having multiple uses within an electronically connected healthcare supply chain,” said VP of Engineering and Program Management Matt LaFontaine, ”Our IP and product solutions enables tagging of surgical cases, surgical instruments and high cost implants and consumable surgical supplies utilizing one internationally accepted platform.”

Solstice’s vision is congruent with legislation passed by Congress in 2007, directing the FDA to develop regulations establishing a unique device identification (UDI) system for medical devices. A UDI system has the potential to improve the quality of information in medical device adverse event reports, which will help the FDA identify product problems more quickly, better target recalls and improve patient safety.

“The MD3 RFID tag line and intellectual property uniquely provides this UDI capability for a wide range of difficult-to-tag medical devices,” said LaFontaine, “Additionally, Solstice incorporates UHF RFID labels for packaged medical implants that integrate together in Solstice’s DOCK to DOC business intelligence solutions creating a robust platform to enable a comprehensive UDI system,” says LaFontaine.

Joint Implant Surgeons of Florida Deploys Patient Work-flow Management Solution to Improve Efficiency and Patient Experience

Reston, VA –Ekahau Inc., the high-performance leader in Real-Time Location Systems (RTLS) using Wi-Fi, announced today that Joint Implant Surgeons of Florida (JISF) in Fort Myers, deployed the Ekahau Wi-Fi-based tracking badge solution that is utilized by Solstice Medical’s real-time patient flow software platform.

With thousands of patients seen annually, JISF combines patient and staff location intelligence with work-flow events to improve patient throughput and patient outcomes. JISF uses Ekahau Wi-Fi-based patient and staff badges, which offer an LED with two-way messaging, to track patient and staff locations throughout the 15,000 square foot clinic. Solstice Medical’s real-time patient flow (RTPF) software analyzes caregiver-patient interaction time based on badge locations and other work-flow events, delivering essential reports and dashboards to the clinic’s management team. Ekahau wearable Wi-Fi badges are given to patients as they sign in, and badges are worn by staff as they treat patients throughout the day. Solstice’s software then categorizes and queues patients in order to improve efficiency. For example, patients classified as new patients require longer initial appointment times, as compared to existing patients. Ekahau badges also capture real-time patient or staff interaction time in each zone within the facility, using the Wi-Fi network. By tracking caregivers and patients managers can compare this real-time data to average standard cycle times based on the type of patient.

Solstice Medical’s RTPF software analyzes actual transaction times (e.g., wait time, exam time and total cycle time by patient type) against pre-programmed benchmarks. The solution’s two-way messaging capabilities reduce patient wait times by alerting staff if patients exceed the standard acceptable wait time. Also, by automating patient queuing, patients are prioritized differently, thus improving wait times at the busy clinic. “Having location-based, timed notifications means that we greatly reduce the chance of ever missing a patient, which is commonplace in many clinics. We can prioritize patient load and treat patients with emergencies, without increasing wait times for everyone. Best of all, we have dynamic, real-time intelligence to improve scheduling in the future,” notes Renee Humbert, Practice Administrator at Joint Implant Surgeons of Florida.

Humbert adds, “Patients can choose to go to any Physician and facility they want. By adopting cutting-edge technology and using it to positively impact the patients’ experience, we feel it also creates a competitive advantage for us, which is so critical in today’s medical environment.”

The joint Solstice Medical/Ekahau solution also offers predictive intelligence so that schedules can be optimized. As predictive models indicate a full schedule based on appointment types and average cycle times, the clinic administrator can determine if additional open hours are required to meet the patient load while maintaining quality of care. The solution also helps predict the volume of joint injectables that must be prepared each day, helping reduce waste and lower costs.

JISF uses this intelligence to implement clinic policies to ensure optimized performance. The real-time tracking software interface allows caregivers to see if a physician is in a patient room with a patient without an assistant, so that caregivers no longer have to check room-by-room. In addition, time spent with patients is carefully recorded, reports are generated and real-time dashboards are used to display statistics so that the clinic can correlate patient time to charting accuracy and patient satisfaction scores and identify and reward personnel who meet quality metrics.

“Ekahau is proud to partner with Solstice Medical and showcase cutting-edge location-based technology and software solutions that drive patient-flow intelligence at world-class clinics such as Joint Implant Surgeons of Florida,” adds Mark Norris, President and CEO of Ekahau.

About Ekahau Inc.
